Introduction (Email Overview)

The e-mail link in Portia will connect you through to your new mailbox. Here, you can find a quick overview of the mail window and a quick guide to get you started.

Overview

Below is a screenshot of the screen that you will get when you click on the e-mail icon within Portia. The icon that is currently called "Calendar" will take you into the old e-mail system (until the end of August) so that you can retrieve anything that you need in the new system.

The mail window has been designed to be a web version of the full Outlook 2007 client, so if you have used that before, you should be able to find your way around. There are some notable differences, however.

The screen is split into 3 columns. The first column is a list of your mail folders (the most often used ones being highlighted under the Favorites section) and a list of your Instant Messaging (IM) contacts. Under this you have links to your Mail, Calendar and Contacts. The second column is a list of all the e-mails in your currently selected folder. There is also a powerful search tool that allows you to quickly find the e-mail you are looking for. The final column displays the body of the currently selected e-mail.

Folders

If you use folders to organise your mail, this is where you will find them. You can create, delete or rename folders by right clicking on your username (SWEB2 in the picture on the left).

You can add or remove a folder from your Favorites list by right clicking on it and then clicking the relevant link.

Any e-mail that you delete will automatically go into the Deleted Items folder. You can recover deleted items here, but only for a short time. After a while the mail will be expunged.

Any mail considered to be spam will be placed in your Junk E-mail folder. This is the equivalent to the current "Bulk" folder.

 

Contact List

This is a list of all the people that you regularly communicate with. You can add people to the list through a variety of methods, the easiest being to click on New...

The traffic light to the left of the username signifies if the user is online or not. if the light is green, you can send an instant message to that person.

These are the links to the main utilities.

E-mails

The main column displays a list of all the e-mails in the currently selected folder. At the top of the column are a number of options including:

  • Create a new e-mail
  • delete an e-mail
  • Filter your e-mails

Under that is a search box. This will search your e-mails by sender, subject and body of text, so it can quickly and easily locate the message that you need.

By default, your e-mails are arranged by conversation. This means that not only is that message displayed in the preview pane, but any related messages are displayed as well.

Preview Pane

This is where your e-mails are displayed. Along the top are icons that allow you to reply, reply to all, forward or manage your e-mails.

The main part of the display is for the body of the selected e-mail. If you have your mails arranged by conversation (see above) then any related e-mail will be listed here as well.

Options

In the top right corner, you will find your status, options, help and address book. The green traffic light signifies that you are online. You can use the down arrow to change your setting to busy or even appear offline.

The Options link takes you to a new screen where you can set up the e-mail system to your preferences. This includes Signatures, mail rules, junk E-mail filtering and even getting your mail to your mobile phone.

The search box enables you to find someone in the address book very quickly and the question mark provides help for more advanced options.
